How to use Bob AI
Everything the app can do today, in the order you'll actually use it.
Starting a report
From Reports, either click an existing chat in the sidebar or just start typing in the box — a new report is created the moment you send your first message, the same way ChatGPT starts a new conversation.
Describe what you saw on-site in your own words. You don't need a client name, property address, or claim reference to get going — if any of that is missing, Bob AI drafts around it using placeholders like [Client name] instead of stopping to ask.
Detail level & SANS toggle
Open "Report details" above the chat to fill in the client name, property address, claim reference, and assessment date whenever you have them — saving here updates the report immediately.
Summary keeps each section to a few clear lines; Detailed expands findings, cause, recommendations, and conclusion into full prose. Both can be changed at any point in the conversation — the next message uses the new setting.
The SANS toggle controls whether Bob AI references SANS standards at all. When it's on, it only ever cites a standard number that's actually present in a document you've uploaded to the knowledge base — never one it merely recalls.
Correction memory
Every assistant reply has a Flag button. Use it when Bob AI gets something wrong — the wording, a fact, a phrase you don't want repeated.
What you write becomes a standing rule applied to every future report, not just this one, so answer the prompt ("What should Bob always do from now on, in cases like this?") with a general instruction rather than a one-off fix.
All standing corrections are listed on the Knowledge Base page, where you can delete any that no longer apply.
Building your knowledge base
On the Knowledge Base page, upload SANS standards, past reports, or other reference material as PDF, DOCX, or plain text (under 20MB).
Mark each upload's type correctly — SANS standard, Past report, or Other reference — since that's what lets the SANS toggle and citation rules tell your standards apart from everything else.
A document shows Processing while Bob AI extracts and indexes its text, then Ready once it's usable. If something goes wrong, the error is shown inline with a Retry option.
Everything you upload is used directly in report answers — Bob AI never tells you to "go check the document yourself."
On accuracy
Bob AI is built to never invent a specific citation — a standard number, a clause, or a section reference — unless it's verbatim in something you've uploaded. If nothing relevant has been retrieved, it discusses the topic in plain language instead of guessing at a number.
After every substantial reply, a second, independent check compares the draft with only your notes and the standards it retrieved. Anything it can't support — an observation you never gave, a "no other damage" claim, a compliance conclusion without evidence — is listed under the reply, with a one-click "Remove these" to have it taken out.
This is a genuine limitation, not a promise of perfection: the check is a second pair of eyes, not a guarantee, and if it can't run (for example while the free-tier limit is reached) it simply doesn't appear. Always give a report a final read before it goes out, especially anything citing a standard.
Exporting a report
Once Bob AI has drafted a report, Word and PDF buttons appear next to the report's title. Both export the latest draft as-is — headings, tables, and lists included — as a clean, letterhead-free document ready to hand off or paste into your own template.
Export always uses the most recent reply, so if you want to change something, ask Bob AI to redraft that part first, then export again.
Attaching files in chat
The paperclip in the message box attaches a file to that specific message. A PDF, DOCX, or plain text file is read in full and folded into the message — a quote, an invoice, a spec sheet, anything with text Bob AI should factor into the report.
An attached image is stored on the report (also visible in the Attachments panel above) but only its filename reaches Bob AI — the current model has no image input, so it will never pretend to describe a photo it can't actually see.
Asking about a specific part of a reply
Select any text inside one of Bob AI's replies and a small "Ask about this" button appears. Clicking it drops that exact excerpt into the message box as a quote, ready for you to add a comment or correction below it.
This is the fastest way to correct or expand on one specific part of a report without retyping context for the whole thing.
